[00:00:00] [SPEAKER_00]: Hey, what's up? It's Aaron. Welcome back to the Aaron LeBauer Show. Today is another opportunity for a Q&A or like a frequently asked questions from Aaron.

[00:00:11] [SPEAKER_00]: So I run a Facebook, a private Facebook group called Physical Therapy Business Ignition.

[00:00:17] [SPEAKER_00]: And this is a private group for coaching clients who are in our program, the Cash PT Blueprint, which is a course that I started back in 2014

[00:00:28] [SPEAKER_00]: that has helped over 1,500 physical therapists, 1,500 something. I think we counted 183 physical therapists launch physical therapy businesses.

[00:00:40] [SPEAKER_00]: Many of whom like hundreds of whom are six-figure business owners and definitely dozens of seven-figure practice owners in that time.

[00:00:47] [SPEAKER_00]: I don't even have all the data just from under this from the people I've met over the years who like Aaron I got in your program

[00:00:53] [SPEAKER_00]: and Physical Therapy Business Ignition is the private Facebook group for members so they can ask questions, post updates, etc.

[00:01:00] [SPEAKER_00]: And I've got some great questions this week.

[00:01:04] [SPEAKER_00]: I thought I'd come in here and while not only doing a Q&A for people in the group but do a Q&A and share it with the podcast because this is valuable

[00:01:13] [SPEAKER_00]: because if I can answer a question once, I can answer it 100 times but if I can answer it once for 100 people or 1,000 people then I can help even more people.

[00:01:24] [SPEAKER_00]: And that's really why I started this program, the Cash PT Blueprint and started coaching because I had so many people asking me same questions

[00:01:33] [SPEAKER_00]: and multiple times in 2014 I was busy treating patients.

[00:01:38] [SPEAKER_00]: I was treating like 24-25 patients a week.

[00:01:40] [SPEAKER_00]: I had two young kids, I mean they were probably three and five at the time.

[00:01:45] [SPEAKER_00]: And I was like I need to do something because I really want to help people and so I was like well let me figure out a way how do I help even more people

[00:01:54] [SPEAKER_00]: and it was okay the idea this epiphany came to me after riding my bike one day was oh I need to do

[00:02:00] [SPEAKER_00]: I was like I'm not good at writing books. I don't want to write a book. I've since written a book but I was like I don't want to write a book.

[00:02:05] [SPEAKER_00]: I don't want to write blog posts. I'm really good on video, good public speaking and so let me create an online course and I did that

[00:02:12] [SPEAKER_00]: and I didn't think anyone was going to buy it but we launched it

[00:02:16] [SPEAKER_00]: and anyways that was September 2014.

[00:02:19] [SPEAKER_00]: I'm recording this in August 2024 so the 10th anniversary of the Cash PT Blueprint is coming up

[00:03:10] [SPEAKER_00]: So the main thing is there's a lot of marketing strategies but marketing changes

[00:03:15] [SPEAKER_00]: and so these are the marketing strategies that you'll learn in this program

[00:03:19] [SPEAKER_00]: that have helped my clients get five years of results in one year.

[00:03:23] [SPEAKER_00]: I've got people now doing 12, 15, 20 even 30k in their first year in business

[00:03:28] [SPEAKER_00]: where it took me five and seven years to do that in my own business

[00:03:33] [SPEAKER_00]: and so it's going to cover all that.

[00:03:36] [SPEAKER_00]: So if you've thought about it, you've heard about it

[00:03:39] [SPEAKER_00]: maybe you've done someone else's course, you're like I don't need two of them.

[00:03:42] [SPEAKER_00]: Well look I'm just going to tell you this thing we're going to blow it out

[00:03:44] [SPEAKER_00]: and it's going to be a massive sale, lots of new bonuses, lots of new trainings etc.

[00:04:06] [SPEAKER_00]: So this is a question every week I put a thing I say it's Q&A time

[00:04:13] [SPEAKER_00]: let's drop a question what are you working on your business

[00:04:16] [SPEAKER_00]: and this is from Aaron she says I moved to Georgia

[00:04:18] [SPEAKER_00]: I'm starting my cash business would love some guidance if there any other Georgia cash based PT's

[00:04:23] [SPEAKER_00]: and I know there's some other Georgia cash based PT's in the program

[00:04:27] [SPEAKER_00]: and I'll end up tagging them in here.

[00:04:30] [SPEAKER_00]: What I want to my thoughts on this are when you're just getting started

[00:04:34] [SPEAKER_00]: while every state has its own like direct access laws and slightly different licensure requirements

[00:04:44] [SPEAKER_00]: pretty much everything's the same.

[00:04:46] [SPEAKER_00]: So what I would love to see is you know can we get people together to collaborate

[00:04:52] [SPEAKER_00]: but people in Texas can help people in Georgia people in Massachusetts can help people in California

[00:04:58] [SPEAKER_00]: because majority of this is business like if there was one secret that I didn't tell you

[00:05:03] [SPEAKER_00]: is that my course is about how to do business and direct access marketing

[00:05:07] [SPEAKER_00]: direct response marketing you know I got my words next up is direct response marketing

[00:05:15] [SPEAKER_00]: how do we do marketing so people respond directly to us

[00:05:19] [SPEAKER_00]: and so some other guidance I would give to Erin

[00:05:22] [SPEAKER_00]: I mean she's I'm sure she's in the group because she's got the course

[00:05:25] [SPEAKER_00]: but it's take the steps in the course and then if it's a specific

[00:05:29] [SPEAKER_00]: I mean there's I need to I just read this out like we need to find like what's the specific question

[00:05:34] [SPEAKER_00]: where do you need guidance but if it's something specific related to Georgia

[00:05:37] [SPEAKER_00]: it's really an or your state if you're listening if you think hey what's the specifics about my state

[00:05:42] [SPEAKER_00]: you need to know your state practice act so everyone can see a patient

[00:05:47] [SPEAKER_00]: even if you don't have in quote direct access you do

[00:05:50] [SPEAKER_00]: you can see a patient and make it part of the onboarding process

[00:05:54] [SPEAKER_00]: you need to know your your laws around what you can sell retail

[00:05:58] [SPEAKER_00]: you need retail sales license if you need that

[00:06:02] [SPEAKER_00]: whether you need a city business license or state business license

[00:06:05] [SPEAKER_00]: or like in North Carolina art of healing

[00:06:07] [SPEAKER_00]: like those little things you find out through your state practice act and board

[00:06:10] [SPEAKER_00]: and your city like government like office

[00:06:16] [SPEAKER_00]: okay another question was Garrett this goes along with it

[00:06:20] [SPEAKER_00]: do you need a sales tax permit if people want to buy merchandise that you design

[00:06:24] [SPEAKER_00]: and order off a website and turn on sell that merch to clients

[00:06:29] [SPEAKER_00]: imagine need for need to bring equipment that you buy and sell to people

[00:06:33] [SPEAKER_00]: so again like this might be different state to state

[00:06:37] [SPEAKER_00]: I think some states don't have some states don't have sales taxes

[00:06:41] [SPEAKER_00]: some states don't have you know like income to I mean some states

[00:06:46] [SPEAKER_00]: don't have income tax like Florida and maybe it was at Nevada

[00:06:51] [SPEAKER_00]: so you need to double check with your local

[00:06:53] [SPEAKER_00]: what's it called like city government and I know in North Carolina

[00:06:57] [SPEAKER_00]: I have to have a retail sales license and it's like 50 bucks a year

[00:07:01] [SPEAKER_00]: and I have to submit the tax I could so I have to collect the sales tax

[00:07:05] [SPEAKER_00]: and just submit a report quarterly and let's say I forget to submit the port

[00:07:09] [SPEAKER_00]: and I owe 10 bucks but I do it late I have a $25 penalty for the 10 bucks

[00:07:14] [SPEAKER_00]: I was supposed to submit I've made that mistake before

[00:07:18] [SPEAKER_00]: but you can automate some of these things so this is kind of like a yes

[00:07:22] [SPEAKER_00]: but it's really like a yes you need double check to see what you need

[00:07:26] [SPEAKER_00]: because this is also sales tax as a state by state thing

[00:07:29] [SPEAKER_00]: if you're selling online products and services

[00:07:33] [SPEAKER_00]: using something like Shopify Shopify should be able to like navigate help you

[00:07:38] [SPEAKER_00]: navigate that piece it probably says hey are you selling here collect sales tax

[00:07:42] [SPEAKER_00]: it's really interesting to collect sales tax in each state

[00:07:47] [SPEAKER_00]: this is an issue like if I'm selling on Amazon Amazon's going to help me do that

[00:07:51] [SPEAKER_00]: but if I'm trying to sell to different places and I'm supposed to collect it

[00:07:55] [SPEAKER_00]: if they live in California collect the California sales tax and pay a couple of sales tax

[00:07:58] [SPEAKER_00]: like this is kind of like an issue in headache and kind of what happened a few years ago

[00:08:02] [SPEAKER_00]: where there didn't used to be sales tax for online sales

[00:08:05] [SPEAKER_00]: but now majority of sales are online and so

[00:08:09] [SPEAKER_00]: if you're selling products you most likely need to

[00:08:12] [SPEAKER_00]: if you're selling services most likely you don't

[00:08:16] [SPEAKER_00]: but there's some services these days that do require sales tax

[00:08:20] [SPEAKER_00]: but I don't think so physical therapy that's something you just need to check

[00:08:25] [SPEAKER_00]: in your state

[00:08:27] [SPEAKER_00]: and then Garrett asked another question do you have any advice on what software a third party

[00:08:31] [SPEAKER_00]: to kind of with for offering payment plans to clients yes

[00:08:35] [SPEAKER_00]: and this one is fairly straightforward it's not based on where you live

[00:08:41] [SPEAKER_00]: which is great

[00:08:44] [SPEAKER_00]: where you live can determine some things

[00:08:47] [SPEAKER_00]: but if you want to do payment plans there's a couple different

[00:08:51] [SPEAKER_00]: ways to do that you might

[00:08:55] [SPEAKER_00]: have a software already that will allow you to do a payment plan

[00:08:59] [SPEAKER_00]: whether it's payments through marketing software

[00:09:04] [SPEAKER_00]: or just your regular billing if you're using

[00:09:07] [SPEAKER_00]: something like square I think square does it square paypal they used to do

[00:09:11] [SPEAKER_00]: it where they would send invoices rather than auto debit but they might have changed that

[00:09:15] [SPEAKER_00]: ideally for a payment plan let's just talk about how do you structure a payment plan

[00:09:19] [SPEAKER_00]: it would be you're going to pay the X amount

[00:09:23] [SPEAKER_00]: over the course of 12 weeks so let's say it's $1000 plan of care

[00:09:26] [SPEAKER_00]: for let's say 10 visits but they're going to pay in 12

[00:09:30] [SPEAKER_00]: weekly installments of like was it $80 or something

[00:09:34] [SPEAKER_00]: and I want to set up to run automatically and hit their card I don't want

[00:09:38] [SPEAKER_00]: to if you're going to put your payment plan I want to have to ask you for money each time because then that's not a payment

[00:09:42] [SPEAKER_00]: plan we also don't want to run it too long

[00:09:47] [SPEAKER_00]: because then people will default now you're chasing money

[00:09:50] [SPEAKER_00]: so one of the software that we use for that we use card connect

[00:09:54] [SPEAKER_00]: I've been using this for a long time card connect is what we

[00:09:58] [SPEAKER_00]: use to swipe cards on and we keep them on file we can

[00:10:02] [SPEAKER_00]: keep on file with secure code and just when people come in I've got their car on file

[00:10:06] [SPEAKER_00]: and I can just like charge their card I have to take the actual thing out of their pocket

[00:10:10] [SPEAKER_00]: and I can also set up customized payment plans so

[00:10:14] [SPEAKER_00]: that's card connect there's a you can get easy

[00:10:30] [SPEAKER_00]: PT marketing machine which is our all in one marketing software

[00:10:34] [SPEAKER_00]: and system and you can set up and integrates with stripe and you can set it up

[00:10:38] [SPEAKER_00]: so there's a nice little check out and specific options for payment plans

[00:10:42] [SPEAKER_00]: and set up a product in there that you got the product

[00:10:45] [SPEAKER_00]: and it's $100 a week for 12 weeks

[00:10:49] [SPEAKER_00]: or you can pay in full $1000 paid in full I would prefer it if

[00:10:53] [SPEAKER_00]: you if the payment plan costs more because you're taking risk then

[00:10:57] [SPEAKER_00]: the paid in full or even like pay as you go you can use that

[00:11:01] [SPEAKER_00]: and maybe even intake queue I don't know the intake queue does payment plans even though they integrate

[00:11:05] [SPEAKER_00]: with stripe they might if you want to discount on intake queue for your

[00:11:10] [SPEAKER_00]: intake forms and EMR that's

[00:11:34] [SPEAKER_00]: you can spread it out but you should be

[00:11:37] [SPEAKER_00]: generating a little bit more revenue for taking the risk if you don't want to take the risk you don't want to chase payments

[00:11:41] [SPEAKER_00]: we also use care credit and care credit is a health care credit card

[00:11:45] [SPEAKER_00]: and I just don't have any affiliate link for that I can recommend it

[00:11:49] [SPEAKER_00]: go to care credit you have to do some training a compliance training everyone in your

[00:11:53] [SPEAKER_00]: comes through your business needs to be offered care credit but it's a great

[00:11:57] [SPEAKER_00]: option because I got to a point where people were defaulting on their payment plans

[00:12:01] [SPEAKER_00]: or you know contesting them I didn't want to go chase money

[00:12:04] [SPEAKER_00]: that's not my job so we start using care credit real quick if you already own a cash

[00:12:09] [SPEAKER_00]: practice you're already seeing patients but you've struggled to really hit 5k

[00:12:13] [SPEAKER_00]: months or maybe now you finally quit your job or you got let go and you're

[00:12:17] [SPEAKER_00]: ready to go all in and you'd like some help hitting 6 figures or more in the fastest

[00:12:56] [SPEAKER_00]: and if so what do you do this just came up from a distant friend so

[00:13:01] [SPEAKER_00]: what I typically do is I don't like to discount

[00:13:04] [SPEAKER_00]: what I really don't like to do is discount like new visits I'll discount

[00:13:08] [SPEAKER_00]: like our consultation like our total body diagnostic you know so

[00:13:12] [SPEAKER_00]: you do a total body diagnostic and it's 150 bucks but

[00:13:16] [SPEAKER_00]: because you're on the call or because you're at the workshop it's I'll take 50% off

[00:13:20] [SPEAKER_00]: and it's just 75 so we'll discount that to get people in door I don't like

[00:13:24] [SPEAKER_00]: to discount visits but what I will do I like to discount

[00:13:27] [SPEAKER_00]: you know the plan of care what I would I do like to do is

[00:13:32] [SPEAKER_00]: buy one give one a Bogo hey if you buy another

[00:13:36] [SPEAKER_00]: package for yourself you you can get a free visit for a friend

[00:13:40] [SPEAKER_00]: if you buy a wellness service for yourself you can buy it one for your friend I also

[00:13:44] [SPEAKER_00]: think when we do memberships or when people buy like

[00:13:48] [SPEAKER_00]: packages but programs they can share it with a friend

[00:13:52] [SPEAKER_00]: like if someone has an extra visit they say they buy 10 visits and they can't use one

[00:13:56] [SPEAKER_00]: or they're on your wellness warrior program and they can't make it this month I'm like hey cool

[00:13:59] [SPEAKER_00]: like for the wellness warrior the memberships we don't save it but hey

[00:14:03] [SPEAKER_00]: you can save it you can share it or you can donate it

[00:14:07] [SPEAKER_00]: that's a great option too

[00:14:10] [SPEAKER_00]: but giving your friends and family like discounts

[00:14:13] [SPEAKER_00]: like I'll say this like why are we giving them a discount because we don't want to charge

[00:14:18] [SPEAKER_00]: our family and friends the same price as we charge everyone else

[00:14:21] [SPEAKER_00]: I mean my family and friends are going to pay full price

[00:14:26] [SPEAKER_00]: and you know what they're the best referral referrals I get

[00:14:29] [SPEAKER_00]: and they don't want to discount they only want to discount

[00:14:34] [SPEAKER_00]: they're only going to accept the discount because you feel uncomfortable charging

[00:14:38] [SPEAKER_00]: what you charge you know I mean I had a massage the other day

[00:14:42] [SPEAKER_00]: by someone in town and they know I'm a physical therapist and I was 5 minutes late

[00:14:46] [SPEAKER_00]: and I said hey I'm late I'll be like I'm gonna 5 minutes late and it's on me she's like okay no worries

[00:14:50] [SPEAKER_00]: and then she showed me around and then we did the massage

[00:14:54] [SPEAKER_00]: and I think it was I even booked an hour but it was probably an hour and it was probably a 75 minute

[00:14:58] [SPEAKER_00]: it could have been an hour and a half I didn't it was 11 a.m. I didn't get out of there until 1245

[00:15:01] [SPEAKER_00]: and I had to be somewhere it was supposed to pick up my kid at 1245

[00:15:05] [SPEAKER_00]: and I was 20 minutes away from home so

[00:15:10] [SPEAKER_00]: and then she didn't even charge me full price and I gave her a tip that meant full price

[00:15:14] [SPEAKER_00]: you know so like I don't need it I didn't need a discount

[00:15:17] [SPEAKER_00]: I don't need that I also would have rather not you know

[00:15:20] [SPEAKER_00]: stayed over without permission or asking me

[00:15:25] [SPEAKER_00]: my dad insists on paying my his partner

[00:15:29] [SPEAKER_00]: insists on paying

[00:15:32] [SPEAKER_00]: I do have a family member I've had a family member who didn't have the ability to pay

[00:15:36] [SPEAKER_00]: and you know we did like pro bono services

[00:15:41] [SPEAKER_00]: because I mean I'll treat my brothers come in and I treat them they're not going to pay

[00:15:45] [SPEAKER_00]: but sometimes they've come in and seen Dr. Katelyn and have paid

[00:15:48] [SPEAKER_00]: so what kind of my policy is especially if it's like immediate family

[00:15:53] [SPEAKER_00]: I've told my employees like just tell my dad

[00:15:56] [SPEAKER_00]: tell my mom like they don't have to pay but basically my parents and

[00:16:00] [SPEAKER_00]: family members insist on paying I'm say hey just tell them like

[00:16:03] [SPEAKER_00]: you know just once you know you don't need to pay

[00:16:08] [SPEAKER_00]: but you know and if they insist you know accept the payment because one it's a great

[00:16:12] [SPEAKER_00]: way for family members to pass money over to me through a way that

[00:16:16] [SPEAKER_00]: you know is a business and not only supports me but they don't need the discount

[00:16:22] [SPEAKER_00]: they don't need the discount because I'm offering something

[00:16:24] [SPEAKER_00]: that's super valuable if I gave them a deeper discount

[00:16:28] [SPEAKER_00]: would they come more often no you know sometimes

[00:16:32] [SPEAKER_00]: what I'll do is if I want to give a friend or family member a discount

[00:16:35] [SPEAKER_00]: what I'll do is I'll say hey thanks for coming in here's

[00:16:40] [SPEAKER_00]: a free gift certificate to give to a friend right

[00:16:44] [SPEAKER_00]: what's better your friend getting a 20 or 100 dollar discount

[00:16:48] [SPEAKER_00]: or them coming in paying in full and giving a visit to a friend who then

[00:16:52] [SPEAKER_00]: is like oh this is so worth it I need to come in and that's the way I see it

[00:16:57] [SPEAKER_00]: and that's how that's how I would do it

[00:17:00] [SPEAKER_00]: but everyone's different but I think that

[00:17:03] [SPEAKER_00]: we could give like industry discounts family friend 10% discount

[00:17:07] [SPEAKER_00]: but you don't need a family and friends discount I think for

[00:17:11] [SPEAKER_00]: physical therapy I mean even retail like I don't want to discount at the

[00:17:16] [SPEAKER_00]: bike shop like it'd be cool it makes me feel special to get a discount

[00:17:19] [SPEAKER_00]: at the bike shop but I can afford to buy the bike stuff I want these days and when I was a

[00:17:23] [SPEAKER_00]: bike racer and I needed the discount I'm glad I got it

[00:17:27] [SPEAKER_00]: that's kind of my thing let's see any advice on that one more

[00:17:31] [SPEAKER_00]: okay there's one more question I'm gonna do any good advice on how to create your website quickly

[00:17:36] [SPEAKER_00]: do you usually hire out any useful tools I'm using wordpress I feel like this

[00:17:39] [SPEAKER_00]: process is taking way too long this is a very common

[00:17:43] [SPEAKER_00]: question like we need a website there's two pieces to this one the

[00:17:47] [SPEAKER_00]: very first thing you need isn't a website just go get a Facebook business page put your stuff

[00:17:51] [SPEAKER_00]: on there use as a temporary website to yeah I've got four wordpress

[00:17:55] [SPEAKER_00]: websites they're difficult to deal with especially in the last years wordpress has gotten

[00:17:59] [SPEAKER_00]: a little bit more complicated than it used to be so the easiest

[00:18:03] [SPEAKER_00]: way to create it the easiest way to create a website

[00:18:08] [SPEAKER_00]: is I can give you a website template I'd be

[00:19:52] [SPEAKER_00]: and it needs to be about the results

[00:19:55] [SPEAKER_00]: that they want and not about the things that you do and I hope that makes sense
